Migrating from EMIS to the Cegedim Primary Care Hosted Solution
This is an easy to follow overview of the migration journey and the resources required:
Before starting the migration process, the following tasks must be completed:

Health Board Meeting - The Cegedim Healthcare Solutions team and your Health Board meet to discuss technical requirements and agree provisional Go Live dates. Your practice contact list is shared.

Data Consent Form - You must complete, sign and return the Data Consent Form to Cegedim Healthcare Solutions , the Data Consent Form is available from here.

Super User - We recommend you nominate a ‘Product champion’, someone to attend all meetings and training, so they can gain a strong understanding of all aspects of your new system. A Super User would be the first point of contact for your staff.
The migration journey is broken down into four distinct phases:

During this time frame the following takes place:

Welcome Email - Your nominated contact receives your Welcome email, this contains:

Key Dates - The important dates for your migration.

Implementation Form Link - You should be completing this form as soon as possible.
Important - It is vital that the information on the Implementation Form is accurate and double checked before it is submitted.

Training Environment Email - Your nominated contact receives access details for your training environment.

Learning Zone - All staff must self register for the Learning Zone, see The Learning Zone.
Important - It is the responsibility of the practice to ensure all staff complete their eLearning. Progress is trackable by managers and key stakeholders in the Learning Zone. -
Third Party Configuration - Any configuration of third party products is arranged.
During this time frame the following takes place:

Engagement and Data Validation Meeting - Your Practice Managers, Information Technology (IT) staff, Clinicians and Super Users attend a meeting designed to set expectations, raise awareness and prepare you for the checking and validation of your data conversion. Trial Data - Cegedim Healthcare Solutions install the converted trial data provided by EMIS and a handful of generic users are set up for you to use to practise and check data, see Data Checking for details.

Data Checking starts - Using the training provided, you should check the trial data provided and complete any mappings required, see Data Checking and EMIS to Cegedim Primary Care Hosted Solution Data Validation for details.

eLearning - All staff should continue to engage with the relevant eLearning modules for their role.

Appointments Training - All staff responsible for the set up and maintenance of your Appointment Books should attend.

Webinars - Nominated staff attend appropriate live webinars delivered by a Cegedim Healthcare Solutions trainer. These are designed to develop and re-enforce the knowledge gained from eLearning, see EMIS to the Cegedim Primary Care Hosted Solution Training Plan for details.
During this time frame the following takes place:

Monthly and Quarterly Reports - You should run any monthly or quarterly searches that are imminent on your existing system, so you do not have the pressure of producing reports as soon as the Cegedim Primary Care Hosted Solution is available.

Hardware - Your hardware (if required) is installed and prepared by your Health Board/local authority.

Final Conversion - Cegedim Healthcare Solutions collects your final data extract, see Go Live Preparation for details.
During this time frame the following takes place:

Implementation Day - A Cegedim Healthcare Solutions representative is on site to assist with the configuration and set up of your new system.

Patient Facing Services - Enable and configure your patient facing services, see Patient Facing Services for details.

Go Live - This is what you have been working towards! Vision 3 with all of your checked and mapped data is available. There is no formal training on your Go Live day. You have a representative providing full support, floor walking, ensuring processes are bedding in, answering questions as they arise and assisting with queries from all levels of staff as they start using Vision 3 and associated applications.

Priority Access to Service Desk - Your priority access to the Service Desk starts.
During this time frame the following takes place:

Data Entry Catch-up - Any data that you could not record after switch off of EMIS and before switch on of the Cegedim Primary Care Hosted Solution should now be entered.

Account Manager - Your Account Manager contacts you to ensure your migration has gone smoothly.

Post Go Live Training - Nominated staff attend appropriate live webinars delivered by a Cegedim Healthcare Solutions trainer. These are designed to further develop the knowledge gained from eLearning and pre-live training.

Revert to normal Service Desk access - Two weeks post Go Live you revert to normal Service Desk access.
