Patient Data

The lines under each sub-heading on a guideline or report can be of various categories, but on reports will be mostly Patient Data lines. These incorporate relevant data for the currently selected patient, for example, a blood pressure line detailing the record is Patient Data.

You can further limit the records display to the include, eg the first 3 records, or the last 5 records etc. There is also a filter of further criteria, for example, only BMI over 25.

  1. With a report in design mode , you would usually first enter a Sub-heading line. If the Patient Data line is inserted after a sub-heading, it goes in automatically at the next level down.
  2. Either click on Patient Data ; or clicking with the right mouse, select Add, then Patient Data. The Select Patient Data screen displays. The data is selected in a similar way as in Searches.
  3. Select the clinical feature you want then click on Add, eg Weight, Blood Pressure. Double click down on the yellow folders, or scroll down, until you find the clinical feature you want, eg Clinical Data - Examination Findings - Weight. You may need to double click to open yellow folders until you reach the final red page icon. Either double click on one of these to select it, or single click and click on Add.

    This will insert a line under Selected Items, eg All Weight Records in Ascending Order.

    You can double click on as many data lines as you like as it allows multi-selection.

    Note - Clinical All finds all data entries EXCEPT test results, referrals, recalls, immunisations, problems and consultations. Tests All finds all test results. Clinical-All can be used as a filter to display data entered into any of the SDAs in the clinical database, but not to enter data. You should not choose Clinical All as a Clinical Data Hotspot for data entry. You either need to choose Medical History or one of the specific SDAs. However, if you want to include a range of Read codes to find records in various SDAs, then set your filter to Clinical-Add and the Read code range you want, rather than trying to do this in Medical History (this will only find History records, not SDA records).

  4. Selected Items and First and Last - If you are happy with the criteria in Selected Items, click OK.

    Otherwise, to change it, for example, to only the last three Weight records, click to highlight the line under Selected Items, in this case All Weight Records in Ascending Order.

    Make sure Last is checked in First / Last.

    Records - In Records, hold the left mouse down and drag across All to highlight it and press Delete; type in 3. Click on Apply. It should say Last 3 Weight Records under Selected Items.

    When patient data is merged into this reports, this will show three lines of records (if there are at least three records) under this sub-heading, and in this example the last three weight records.

    For only the first record, click on First and enter 1 in Records.

    If all records, enter either All in Records or leave it blank.

    • First - records are displayed in ascending order with the earliest first.
    • Last - records are displayed in descending order with the most recent first.
  5. Filter - If you want to further restrict the display of data, for example, only high BP readings, BMI that are over 25, then use Filter. First click to highlight the relevant line under Selected Items (especially if more than one line). Select criteria as you would on an Add Entity screen in Searches - click once on the line you want (eg BMI), Add New, refine the selection using Equals, Less Greater etc then click OK.

    Whatever is selected in Filter displays in the Where... window.

  6. Click OK. The line inserted will reflect your choice, eg Last 3 Weight Records.

    Note - If a line on a report, merged with patient data, is shown as No data available, then there are no data records for that patient. If No Relevant Data Available, then the filter, imposed in Where, did not show any records meeting this criteria. Other records exist, however, outside the criteria.
