Two Week Wait Referral Templates

You can save local and /or national 2 week wait (2WW) referral templates along with the rest of your practice templates, in P:\wordproc\template.

Note - You must be using Microsoft Word as your word processor to use these templates.

To download and use local and /or national 2WW referral templates:

  • Download the .Zip files from the local or national source and Extract All to P:\wordproc\template.

They are now ready for use:

  1. From Consultation Manager, with a the patient required selected and a consultation open, add the referral in the usual way, see Adding a Referral - England or Adding a Referral if required.
  2. Select Letter and select the appropriate 2WW template.
  3. The patient and practice data automatically merges with the template, once this finishes you can complete the letter. As well as merges for patient details, the templates can contain the following Word functions:
    • Tick boxes - Select to tick, select again to remove the tick.
    • Drop Down lists to select from - Select to display the list and choose the appropriate option.

      Training Tip - To use these you must have the Forms toolbar available on screen, select View - Toolbars and ensure that the Forms toolbar is marked with a tick. To enter data in Tick boxes and Drop Down lists, Protect Form must be depressed.
  4. Enter or update any data as required, only Tick boxes and Drop Down lists require the document to be unprotected.

  5. Check all the relevant data is complete and correct, for example:

    • Fax - Enter the Fax number for the referral centre, if relevant.

    • Practice Fax number - Enter your practice Fax number on each template, if relevant.

    • Merged Fields

    • Referring doctor - This is the Referral Clinician from the Referral screen.

    • Date of Referral - This is the Event date from the Referral screen.

    • Practice details - Merged automatically from File Maintenance.

    • Patient details - Patient details are merged from their Registration record.

    • Practice Phone Number - Merged automatically from File Maintenance.

  6. Once complete, send the letter following your practice protocols, for example, email.

  7. Select File - Save to save the letter to Vision 3.
