Quantity warnings


 

In the interests of clinical safety, there are in-built safeguards to prevent errors arising from incorrectly entered quantities.

Out of range - more than three times advised quantity

For all prescriptions - manual or electronic - an advisory alert will appear when the dispensed quantity is three or more times higher than Pharmacy Manager's maximum recommended quantity for that item.

 

This alert appears in the advisory box:

  • The quantity can still be dispensed but requires you to confirm it is acceptable.

  • If you want to accept the quantity as entered, click the Confirm button.

  • The is replaced by .

  • Alternatively, to see the alert in full, double click the advisory message.

  • The following detail will appear, from where the Confirm button can also be clicked.

 

The advised prescribable quantity range can be seen on the Product details - Other tab.

 

  • Alternatively, whilst it would not be advised to remove the safeguard, you can click the Suppress button to globally prevent this message from appearing again.

  • Click the Yes button to suppress the alert.

You can reverse this setting in User details.

 

Out of range - over three times advised quantity

For all prescriptions - manual or electronic - a stronger advisory alert will appear when the dispensed quantity is in excess of three or more times higher than Pharmacy Manager's maximum recommended quantity for that item.

 

Stressing the potential severity, this alert appears accompanied by two icons in the advisory box.

 

  • Double click the advisory message or alternatively, click the Confirm button.

  • The full alert appears.

  • Click the Proceed button if the quantity is correct.

  • Click the Do not proceedbutton if you want to revert back to theDispensarytab to make an alteration to the quantity.

DM+D mismatches

For electronic prescriptions, Pharmacy Manager will compare, if the electronic details are available, the DM+D quantity prescribed against the equivalent DM+D quantity you are planning to dispense.

 

If there is a perceived issue with the quantity dispensed that you have entered, an alert will appear in the advisory box.

 

These problems may arise when:

  • You select the wrong pack size for electronic prescriptions, e.g. 56 tablets are prescribed but you select to dispense 2P but then choose a 56 pack size.

  • You put in the quantity prescribed, but the units of measure are different e.g. 200 dose DM+D units prescribed but you enter 200 into Pharmacy Manager when Pharmacy Manager uses single pack units, not doses.

  • You enter a higher quantity than necessary, due to differences in UoM prescribed/dispensed.

  • Click the Confirm button.

  • The full alert appears.

 

To help you determine what is wrong, the full alert shows:

  • the prescribed amount plus the unit of measure (UoM)

  • the Pharmacy Manager quantity and UoM

  • the equivalent DM+D dispensed quantity and equivalent dispensed DM+D UoM

  • Click the Proceed button if the quantity is correct.

  • Click the Do not proceedbutton if you want to revert back to theDispensarytab to make an alteration to the label detail.

 

If you dispense an item with no DM+D quantity from an electronic prescription, an advisory message informs you that there is insufficient electronic data for quantity checking.

 

If the system is configured for a dispensing robot, quantity matching functionality cannot be used.
