Amend item quantity ordered


 

When products are set to Auto-Order, the system calculates order quantities automatically for you.

However, you may want to order a different quantity, perhaps because you know there will be a higher demand in the next couple of days, etc.

Therefore, you would amend the order quantity manually, but in doing so, the system tags that item as User Maintained, until you receive that order. This is because each time you dispense an auto-order item, the quantity on order is reviewed and amended accordingly.
 

Example:Pharmacy Manager has automatically ordered 1 X 100 Migril Tablets, after you had dispensed 30 earlier in the day. You are expecting a prescription tomorrow for 100 and want to order an extra 100 in advance; so, you manually amend the order to 2 X 100.

If you were to dispense the same item again before the order is sent, Pharmacy Manager would calculate that only 1 X 100 is required to bring stock back to the required level. Hence, the order would be re-calculated and adjusted back to 1 X 100.

To prevent this happening, you need to set the user-maintained flag on that item, by following the instructions below to increase/decrease amount ordered. The order will not be amended by the auto-order again until the order has been received.
 

 

You can increase or decrease the number of packs on order, from the Ordering tab.

For any lines that are on automatic stock control:

  • Highlight the item;

  • Press the Details button;

  • Select User maintained.

This will now allow you to amend the Packs to order figure and will display the user-maintained icon to the left of the product in the ordering screen. When you have received and booked the order in, all Auto-order lines will lose their user-maintained status and it will revert to automatic ordering in the normal way.

Provided Manual Stock Control is not selected in Menu >Tools > PharmacyDetails > Ordering tab > Stock control section, you will see this icon beside all user-maintained products in the order list.

Therefore, the icon applies to any items manually added to the ordering screen.

Change quantity – user maintained

If an item has been manually added to the order list, you can increase or decrease the existing order by highlighting the product from the Ordering tab and pressing  & to increase or  & to decrease the quantity on order.
