Recording an Incoming Letter
- Select Add – Correspondence to display the Clinical Correspondence – Add screen.
- Click within the Summary box and type, in free text, a resumé of its contents.
- The Third Party Letter box is selected by default and should remain checked, to indicate a letter from an external source.
- Remove the tick from In Practice, also to show this is a letter from an external source.
- Type of Letter - Referral (the default), <None>, Clinical, Medical Report, Patient, Practice, Recall, Referral. Clinical would probably be appropriate.
- Add any relevant recall date.
- Click on OK.
Scanning - For those who have the separate Vision Scanning facilities (covered fully in a separate User Guide):
- Follow steps 1-5 above.
- From Microsoft Word, having highlighted the text you want to import, press the Send to Vision button.
- On Clinical Correspondence – Add, check the Type of letter is appropriate and there is a tick in Third Party Letter.
- Click on OK.
To include text from the Windows clipboard into the free text notes section, for example, a letter scanned into Word, or details from an entry in the Journal or Filtered tabs, you will need to copy the text first before you start the Referral – Add or Clinical Correspondence – Add.
- Either block highlight the text, or if you are copying text from the Journal or Filtered tabs, click on the first entry you want to include, press the Shift key down, then click on the last entry you want to highlight it;
- then either Control – C to copy it to the Windows clipboard; or start to drag the highlighted text to the floating drop target which will appear when you start dragging, and drop it on the Windows clipboard icon (bottom right).
- Once in the Referrals/Correspondence – Add screen, click on the Notes
and do Control – V to paste the clipboard text into the Notes section. Click on Close and then OK to exit.
- Or if you are pasting into a Word document, Edit-Paste, or Control-C to paste the text.
At least nine lines of text will be included on the Journal or Filtered tabs. If more than nine, the word More... is shown in the right-hand column. Click on this to reveal the whole text.
